LAA UPDATE: The LAA have announced that their new bulk upload portal will go live in February 2026. Lawsyst team are pleased to share that our systems are ready for the new changes. There is nothing new to learn in Lawsyst but please ensure that you are abreast with the new SaBC portal. Please note that you will no longer be able to create claims on the SaBC portal. You must upload the bulk-upload file each month even if with zero claims. Secondly, the new SaBC portal will allow one bulk-upload per contract each month. Previously providers were able to upload one bulk upload file for multiple contracts. This means that the providers will need to allow more time for the billing purposes. Finally, the LAA will require retrospect bulk-upload files that must include the 'New Fee Code' to be uploaded for the contingency period. We are pleased to share that Lawsyst system supports creation of bulk-upload files in the new format for any previous months.     We are hiring. If you have experience in the legal tech industry, we would love to talk to you. Please send your CV to info@lawsyst.co.uk

Modern law firms manage a constant flow of information such as case documents, emails, invoices, payments every day accurately and efficiently. When these activities are managed across separate spreadsheets, inboxes, calendars, filing systems, and accounting tools, it can become difficult for a legal support team to maintain a clear overview.

A legal support team system can bring these activities together in one organised environment. Instead of switching between multiple platforms, legal professionals can use a centralised system to manage matters, documents, workflows, communications, time recording, and billing.

For UK law firms, this type of technology can help reduce administrative work while creating greater visibility across the practice. Lawsyst, for example, combines case management, document management, workflows, time recording, and billing, accounting, CRM, and communication tools within one legal software platform.

What is a legal support team system?

legal support team system is designed to help lawyers, paralegals, legal assistants, administrators, and managers coordinate their work around clients and matters.
Rather than treating each administrative activity as a separate task, the system connects related information. A client record can be linked to their matters, correspondence, documents, deadlines, tasks, time entries, and financial records.

This creates a central source of information for the legal team. When someone needs to check the status of a matter or find a particular document, they can access the relevant information from the same environment.

Lawsyst allows solicitors and lawyers to manage clients and matters from a central location, while providing tools for document management, calendars, time tracking, workflows, billing, and communications.

Bringing client information into one place

Client information is at the heart of every legal practice. However, important details can easily become scattered between email accounts, spreadsheets, paper files, and separate databases.

A centralised legal support team system can connect client information with the matters being handled for that client. This means authorised team members can have a clearer view of the relationship and the work being carried out.

For example, instead of searching through an inbox to understand previous communication, a team member can review the communication history associated with the relevant client or matter.

Managing cases from intake to completion

Legal matters often involve numerous stages, tasks, documents, and deadlines. Without a consistent process, it is possible for administrative tasks to be overlooked or handled differently by different members of the team.

A legal support team system can establish structured workflows for each type of matter. Lawsyst supports pre-made workflows as well as customised workflows. Teams can track case statuses, assign responsibilities, set deadlines, and monitor progress. This gives managers and caseworker’s greater visibility into what has been completed and what still needs attention.

Centralising legal documents

Legal work generates a significant amount of documentation. Contracts, correspondence, forms, evidence, statements, court documents, invoices, and other files need to be stored securely and retrieved when required.

A central document management system can reduce the need to search through multiple locations for important files. Lawsyst allows users to store, organise, search, and securely share legal documents. It also includes version control, helping teams manage different versions of documents within the matter. This can make collaboration easier because team members have access to the relevant documents without relying on individual computers or disconnected folders.

Connecting emails and communications

Email remains one of the most important communication channels for legal teams. However, important case correspondence can become difficult to manage when it remains buried in individual inboxes. Integrating email with case management can help connect communication to the relevant matter.

Lawsyst integrates with Microsoft Outlook and Office 365, allowing incoming and outgoing emails to be tagged, categorised, and stored in relation to matters. Microsoft Word integration also allows documents to be saved directly into a matter. This can create a more complete record of client and case communication while reducing repetitive administrative work.

Keeping deadlines and tasks visible

Missing a deadline can create unnecessary pressure for a legal team. With multiple matters running simultaneously, relying on memory or scattered calendars can make task management more difficult. A legal support team system can provide a central location for deadlines, appointments, reminders, and assigned tasks.

Bringing time recording and billing together

Time recording and billing are closely connected, yet many firms still rely on separate processes to capture work and prepare invoices. When time entries are connected directly to matters and billing, the administrative process can become more streamlined. A legal support team system allows legal professionals to record time against specific matters and supports automated billing based on time entries. The platform also supports different billing arrangements, including hourly, fixed-fee, and legal aid work.

This connection can help firms maintain more accurate records of work completed while reducing the need to transfer information manually between systems.

Supporting legal aid and financial administration

For firms handling legal aid matters, billing and compliance can involve additional administrative requirements. Keeping case activity and financial information connected can help simplify the process. A legal support team system such as Lawsyst includes legal aid billing functionality alongside its case management and accounting tools. The platform supports both criminal and civil legal aid contracts and provides functionality for submitting legal aid claims.

Its broader accounting functionality includes client ledgers, bank feeds, purchase ledgers, payments, reconciliations, and financial reporting. By connecting financial activity with the relevant matters, firms can create a more organised approach to financial administration.

Improving team collaboration

A legal support team system is not only about storing information. It can also help people work together more effectively. When a lawyer, paralegal, administrator, or manager works on the same matter, everyone needs appropriate access to current information. A shared platform can reduce duplication and make handovers easier.

Helping teams work more efficiently

The main advantage of bringing activities together is not simply having fewer software applications. The real benefit is the connection between different parts of the legal workflow.

Lawsyst workflow software is designed to connect processes from client intake and document management through to time tracking, invoicing, and billing. That can help legal teams spend less time on repetitive administration and more time on client-focused and billable work.

Security and controlled access

Centralising information also makes security an important consideration. Law firms handle confidential client information, so any system used to manage legal work should have appropriate security controls.

Choosing the right legal support team system for your law firm

Before selecting a legal support team system, consider the processes your firm needs to improve. Look for software that can support your practice area, integrate with the tools your team already uses, and scale with your business.

Lawsyst brings case management, workflows, document management, time recording, billing, accounting, CRM, communication, and other legal practice tools together within one platform.

For law firms looking to reduce administrative complexity and create a more connected way of working, Lawsyst’s dedicated legal support team system can be an important step towards a more efficient and organised practice.
